02. Orientation & New Volunteers

Orientation Reservations
Volunteer Orientation requires an invitation. Applications to become a volunteer must be filled out online at https://www.volgistics.com/ex/portal.dll/ap?AP=1312880791. Once an application is approved it will be passed on to the Orientation Leader to schedule an orientation for the applicant. When scheduling the orientation, the importance of a timely arrival will be communicated. On the day of Orientation if there is a no-show, the Orientation Leader will try and contact the person via phone to confirm if they will be attending and when they will arrive. Orientation should not be postponed more than 15 minutes if there are other individuals attending that have arrived on time.

Orientation Leader
The Volunteer Committee will manage Volunteer Orientations and will either lead the Orientation or assign a substitute in their absence. The Orientation Teachers that are listed on the Class Completion Chart are ordered in order of most preferred to substitute. The Orientation Leader must be a green level Senior Keeper or Senior Partner or higher.

Special Consideration Orientation Discount
The discounted rate for orientation for seniors, students, and active and non-active military personnel, is $50 (discounted from $70). A valid ID confirming that the individual is any of the listed must be provided in order to receive the discount.

Returning Volunteer Orientation Discount
The discounted rate for orientation for returning volunteers, or interns returning to volunteer, is $50 (discounted from $70).

New Volunteer First Day
A new volunteer’s first day will be scheduled by the Trainee Liaison. The Trainee Liaison will post the volunteer’s name and the words FIRST DAY on the Trainee calendar and will notify the Coordinators and Operations Managers. The new volunteer will pay the Orientation fee on the first volunteer day and will receive their shirt, radio, and books at this time. After volunteering up to four times, the Trainee Liaison will provide the volunteer website and time system managers with the volunteer’s paper sign in sheet so that they can be added to the BigCatRescue.me site and the Time System and will train the new volunteer how to log in and use these sites.

Shirts
All new volunteers will be designated with a red shirt that says Trainee on the back.

New Volunteer Start Times
Trainee start times are 8:00 AM and 1 PM.

Volunteer Intro Photos
The Trainee Liaison will email profile photos of new volunteers along with their name to the Photo Board Manager, update the Volgistics record Profile tab, and post a welcome to the new volunteer on Workplace.

Volunteer Coordinator
A Volunteer Coordinator will; meet with new volunteers on their first day to orient them, schedule class teachers for their first 4 volunteer days, ensure the paper hour reports for the first 4 volunteer days is filled out, and check in with new volunteers once a month for the first 6 months of volunteering to follow up with their progress in the program.

Volunteer Files
Volunteer files are kept in a locked office at the sanctuary. Volunteer files shall remain in the filing cabinet at all times except in the normal course of file review and updating conducted by the Volunteer Committee or staff. Files that have been removed for this purpose should never be left unsupervised nor should volunteer files ever be taken off of the property. The files shall be returned to the cabinet immediately upon finishing the normal work and secured. Volunteer files being transported from various areas of the sanctuary shall be under the supervision of only the personnel involved in the normal process of orienting and training volunteers and shall not be left unattended.
